Many places require repair shops to give a written estimate first and to itemize parts and labor on the final invoice. Check the rules where you operate.
Pricing and payment terms for auto repair work
Repair shops usually require payment when the vehicle is collected, so terms are often Due on receipt. For fleet and business customers, Net 15 or Net 30 is common.
Write the warranty on the invoice, such as "12 months or 12,000 miles on parts and labor", so the customer knows what is covered.
Tips for auto repair invoices
- Record the mileage in and out; it protects you if there is a later dispute.
- Keep customer authorization for extra work on file, such as a text or signed estimate.
- List used parts returned to the customer, where relevant.
- Use a separate line for environmental or disposal fees so they are not hidden in labor.
Common mistakes on car repair invoices
- Combining parts and labor into one amount.
- Doing extra work without written authorization and then billing for it.
- Not recording the mileage in and out.
- Leaving the warranty terms off the invoice.
Wording you can reuse
- "Parts and labor warranted for 12 months or 12,000 miles, whichever comes first."
- "Additional work authorized by customer by phone on 14 November at 11:20."
- "Old parts available on request."

Frequently asked questions
What should a car repair invoice include?
Customer and vehicle details, a job number, parts with quantities and prices, labor hours and rate, other fees, the total, any warranty and the date. Some places have rules about itemization and written estimates.
Should parts and labor be listed separately?
Yes. Customers expect it, and in many places it is required or helps with tax because parts may be taxed differently from labor.
Is a mechanic invoice the same as a work order?
No. A work order authorizes and describes the job before it starts. The invoice bills for what was done. You can use the work order generator for the first and this template for the second.
How do I charge for a diagnostic fee?
List it as its own line. Many shops credit it against the repair if the customer goes ahead; if so, show the credit as a deduction.
Do I charge tax on car repairs?
It depends on the place. Parts are commonly taxed and labor sometimes is not. Use the tax field for the part that is taxable and check local rules.
