What an invoice is and why it matters

An invoice is your formal request for payment. It tells a client what they are paying for, how much, and by when. A clear invoice is paid faster, because the client’s accounts team can match it to an order and approve it without asking questions.

What to put on a professional invoice

  • Your business name, address and contact details (and tax number if you are registered).
  • Your client’s name and billing address.
  • A unique invoice number and the issue date.
  • A due date or payment terms such as Net 30.
  • Itemized lines with quantity, rate and amount.
  • Subtotal, discount, tax and total.
  • Payment instructions and any late-fee terms you agreed in advance.

Invoice maker, invoice generator and invoice template: what is the difference?

People use these words for the same job. An invoice template is the blank layout, and an invoice maker or invoice generator fills it in for you and does the maths. The result is the invoice you send. Invoicz is an online invoice generator: you type your details into a form, the totals are calculated for you and you download a finished PDF, with no account and no watermark.

Types of invoices you may need

  • Standard invoice: the everyday request for payment, which is this page.
  • Proforma invoice: a preliminary invoice sent before delivery, used for advance payment and customs.
  • Credit note: reduces or cancels an invoice you already sent.
  • Receipt: confirms that a payment was received.
  • Quote or estimate: a price offer made before the work starts.
  • Purchase order and sales order: the documents that come before an invoice in a sale.

Is it safe to make an invoice online?

With Invoicz the invoice is built in your browser and is not uploaded to a server. The form is not saved between visits: every time you open or reload the page it starts blank, so download your PDF before you leave.

Payment terms and how tax is applied

Discounts come off first, and tax is calculated on the discounted amount. Shipping is added afterwards and is not taxed by default. If your prices already include tax, switch on Prices include tax and the tool will work out the tax portion for you. Tax rules differ by country and state, so type the rate that applies to you.

Common mistakes to avoid

  • Leaving out the due date, so nobody knows when to pay.
  • Using the same invoice number twice.
  • Vague descriptions that invite questions.
  • Forgetting a PO number a large client requires.
  • Not stating how to pay.

Frequently asked questions

Is this invoice generator really free, and are there limits?

Yes. You can create and download as many invoices as you like. There is no watermark, no sign-up and no paywall. The site is supported by advertising, which never appears inside your document.

Can I use this invoice generator without signing up? Do I need an account?

No. There are no accounts. Open the page, fill in the form and download the PDF. The form starts blank every time, so nothing from an earlier visit is left on screen.

Is my invoice data stored anywhere? Is it private?

Everything is built in your browser. The names, addresses and amounts you type are not uploaded to our servers. The form is not saved: reloading or closing the page clears it. Documents you download are listed on the History page on your own device only, and you can delete them there.

How do I make an invoice step by step?

Add your business details and logo, enter your client and the invoice number, choose the date and payment terms, list each item with a quantity and rate, add tax or a discount if needed, check the live preview and download the PDF. The whole thing usually takes a couple of minutes.

What must be on an invoice?

At minimum: your name and contact details, your client’s name, a unique invoice number, the issue date, a clear description of what you are charging for, the amounts, any tax, the total and how and when to pay. Some countries also require a tax or VAT number, so check the rules where you operate.

How should I number my invoices?

Use a simple sequence that never repeats, such as 1, 2, 3 or INV-2026-001. After you download one, choose New document and the next number is suggested for you. Skipping or reusing numbers makes bookkeeping and audits harder.

What do Net 30, Net 15 and Due on receipt mean?

Net 30 means the full amount is due 30 days after the invoice date; Net 15 means 15 days; Due on receipt means as soon as the client gets the invoice. Pick a term from the list and the due date is filled in for you, or choose Custom date to set your own.

How do I add sales tax, VAT or GST to an invoice?

Click + Tax, rename the label to Sales tax, VAT or GST, and enter the rate as a percentage or a fixed amount. If your item prices already include tax, tick “Prices include tax” and the tax is worked out from the total. Invoicz supports one tax line per document.

Can I add a discount, shipping and a deposit that was already paid?

Yes. Use + Discount (percentage or fixed amount) and + Shipping, then enter any payment already received in Amount paid. The balance due updates automatically. The order is items, discount, tax, shipping, then total.

Does an invoice mean the client has paid?

No. An invoice is a request for payment. A receipt is the document that confirms payment was received. When you are paid, you can make one with the receipt generator.

Can I invoice in another currency or language?

Yes. Choose from 37 currencies in the panel, and switch the interface and document labels into 16 languages with the globe button at the top. The amounts you type are used exactly as entered.

Can I make an invoice in Word or Excel?

Invoicz creates PDF invoices only, which is what most clients expect because the layout cannot be changed by accident. If you need to edit later, open it from the History page on the same device and change it.

What is the best free invoice generator?

It depends on what you need. If you want to make a clean PDF invoice quickly with no account, no watermark and no upload of your data, Invoicz is built for exactly that. If you need recurring invoices, client lists, payment links or automatic reminders, a full invoicing app with an account will suit you better.

Is there a free invoice template I can download?

Invoicz is an online invoice maker rather than a Word or Excel download. Choose one of two layouts (Portrait or Landscape) and one of three header colors, fill in the form and download the finished PDF. Documents you download are listed on the History page on your own device, so you can reopen and edit one.

What are the different types of invoices?

The most common are the standard (sales) invoice, the proforma invoice sent before delivery, the credit note that reduces an invoice, the recurring invoice, and the commercial or tax invoice used for customs and tax. Invoicz has separate generators for the standard invoice, the proforma invoice and the credit note.

Can I customize the invoice with my logo and colors?

Yes. Upload a PNG, JPG or WebP logo, pick a Portrait or Landscape layout and a gray, black or purple header, rename the document title and tax label, choose the currency and switch the language. The invoice paper itself always prints on white.

Can I save my business details and client details for next time?

The form starts blank each time and does not store your business details, logo or drafts. Documents you download or archive are listed on the History page on your own device, where you can reopen one. There is no client list, because nothing is stored on a server.

How do I send the invoice to my client?

Download the PDF and attach it to an email or message, or print it. Invoicz does not send emails itself, which is also why it does not need your client’s address or your login.

Can I make an invoice on my phone?

Yes. The generator works in a phone browser with no app to install. The Download PDF button stays at the bottom of the screen and the file is saved to your phone’s downloads.
