GRN, packing slip and delivery note
The supplier sends a packing slip or delivery note listing what they believe they shipped. The buyer's goods received note records what actually arrived. When the two disagree, the GRN is the buyer's evidence for a shortage or damage claim.
Where it fits
The usual order is purchase order, delivery, goods received note, then invoice. Many companies match all three before they pay. Keep the GRN with the PO and the invoice.

Frequently asked questions
What is a goods received note?
A goods received note, or GRN, is a document created by the buyer when goods arrive. It records what was delivered, in what quantity and condition, and is used to match against the purchase order and the supplier invoice.
What is the difference between a goods received note and a packing slip?
A packing slip comes from the supplier and says what they shipped. A goods received note comes from the buyer and says what actually arrived. They should agree, and if they do not, the GRN is the buyer's evidence.
Who issues a goods received note?
The buyer, usually the warehouse or the person who receives the delivery. It is raised when the goods are checked in.
What should a goods received note include?
A GRN number, the date, the supplier and their delivery note number, the PO number, each item with quantity ordered and received, the condition of the goods and the name and signature of the receiver.
Is this goods received note generator free?
Yes. There is no account, no watermark and no limit. The document is created in your browser and nothing you type is uploaded.
Why do I need a goods received note?
It is your record of what actually arrived. It lets you check a delivery against the order, supports a claim for shortages or damage, and gives accounts the evidence to approve the supplier invoice.
What is three-way matching?
It is a check that the purchase order, the goods received note and the supplier invoice agree before payment is released. The GRN is the middle document.
What should I do if goods arrive damaged?
Record the damage on the goods received note, photograph it, tell the supplier and the carrier promptly and keep the packaging. Do not sign for goods as perfect if they are not.
How is the outstanding quantity worked out?
It is the quantity ordered minus the quantity received for each line. If you enter nothing under Received, the full ordered quantity counts as received.
Can I record a partial delivery?
Yes. Enter the quantity actually received on each line, and the outstanding column shows what is still to come. Create a second GRN when the rest arrives.
Who should sign the goods received note?
The person who checked the goods in, and the person who delivered them where possible. Their names and signatures make it a reliable record.
