Frequently asked questions

What should a timesheet include?

The worker’s name, the client or project, the period, each date with a task description and the hours worked, the rate, the total hours and pay, and a place for approval.

How do I calculate hours and pay?

Enter hours as decimals, for example 7.5 for seven and a half hours, and the hourly rate. The amount is hours times rate and the document shows total hours and total pay.

How do I show overtime?

Add a separate line for overtime hours and enter the higher rate, for example 1.5 times the normal rate. Keep the description clear, such as “Overtime (1.5x)”.

Weekly, biweekly or monthly: which timesheet should I use?

Match your pay or billing cycle. Weekly is common for hourly staff, biweekly for many payrolls and monthly for retainers or contractors invoicing once a month. Set the Period start and Period end accordingly.

Can I attach a timesheet to an invoice?

Yes. Download the PDF and send it with the invoice so the client can see how the hours were calculated. Many clients ask for this before paying.

Does the timesheet need approval?

It helps. Use the Approved by field and the Approval notes so the client or manager confirms the hours, which avoids disputes later.

Are employers required to keep timesheets?

In many countries employers must keep records of hours worked and wages for a set number of years. Rules vary, so check your local labor law. This tool helps you create the document; it does not give legal advice.

Can I include tax on a timesheet?

Yes, if you bill from it. Use + Tax to add one tax line. If it is only a record of hours, leave tax off.

How do I create a timesheet for free?

Add the worker and the client or project, set the period start and end, enter each date with a task and the hours worked and the rate, then download the PDF. No account is needed.

How do I convert minutes to decimal hours?

Divide the minutes by 60: 15 minutes is 0.25, 30 minutes is 0.5, 45 minutes is 0.75 and 20 minutes is about 0.33. Enter the decimal in the Hours column.

Can I export the timesheet as a CSV or Excel file?

No. Invoicz produces a PDF only. If you need to bill from it, you can copy the hours into the invoice generator.

What is the difference between a timesheet and a time card?

A time card usually records clock-in and clock-out times for payroll. A timesheet lists hours by day and task, often for billing a client or project. This form is a timesheet.
