- The full names and addresses of the seller and the buyer.
- A clear description of the item: make, model, year, colour and any identifying number.

- The sale price and how it was paid.
- The condition: sold as is, or with a stated warranty.
- A statement that the seller owns the item and it is free of claims.
- Signatures of both parties, and a witness or notary if required where you live.

Bill of sale, receipt and invoice
A receipt confirms payment. An invoice requests payment. A bill of sale records the sale itself and the transfer of ownership, and often serves as the receipt too. For vehicles, a bill of sale does not replace the official title transfer, which is handled by the authority where you live.
Before you sign
- Check the item and the serial number against the document.
- Agree the price and the payment method in advance.
- Make two copies so each side keeps one.
- Check whether your state or country requires a witness, a notary or registration of the transfer.
This tool provides a general template and is not legal advice. Requirements for bills of sale and ownership transfer vary by place and by type of item.
Frequently asked questions
What is a bill of sale?
A bill of sale is a written record that an item was sold. It names the seller and the buyer, describes the item, states the price and the date, and is normally signed by both sides. It is evidence of the sale and of the terms.
Is a bill of sale legally required?
It depends on the item and where you live. Some places require one for vehicles, boats or other registered items, and many do not for everyday goods. Even when it is not required, it is good practice because it records what was agreed.
What should a bill of sale include?
The date, the names and addresses of both parties, a description of the item with any serial number or VIN, the price, the payment method, the condition of sale and signatures. For vehicles, add the odometer reading.
Does a bill of sale need to be notarized?
Often not, but some places or some types of item require a witness or a notary. Check the rules where you live or with the authority that registers the item.
Is this bill of sale generator free?
Yes. There is no account, no watermark and no limit. The document is created in your browser and nothing you type is uploaded.
Can I use a bill of sale for a car?
Yes. Add the make, model, year, VIN and odometer reading, the price and both signatures. A bill of sale does not replace the title transfer, which is handled by your motor vehicle authority, but many places ask for one with the paperwork.
What does "sold as is" mean?
It means the buyer accepts the item in its current condition, with no warranty from the seller. Choose it in Condition of sale, and write down any known faults in the notes so there is no argument later.
Can I add sales tax to a bill of sale?
Yes. Use the Tax row and enter the rate. Whether tax applies depends on the item, who is selling and where, so check the rules for your situation.
Can I sell more than one item on one bill of sale?
Yes. Add a line for each item with its description, quantity and price, and the total sale price is worked out for you.
Do both sides need a copy?
Yes. Print two copies, sign both and keep one each. You can also download the PDF and send it to the other person.
Is a bill of sale the same as a receipt?
No. A receipt confirms that payment was received. A bill of sale records the sale and the transfer of ownership, and often includes the details of payment too.
