A quote turns a conversation into a clear offer. It states the work, the price and the conditions so the client can compare and decide, and so you both know what has been agreed.
Quote maker, quote generator and quotation template: what is the difference?
A quotation template is a blank layout. A quote maker or generator fills it in for you and totals the prices. Invoicz is a free online quote maker: add your items, a valid-until date and terms, then download a PDF with no account.
Example of an itemized quote
| Item | Qty | Price |
|---|---|---|
| Painting, walls and ceiling, two coats | 1 | $420.00 |
| Materials: paint, tape and drop cloths | 1 | $100.00 |
| Total | $520.00 |
What to include
- A description of the scope in plain words.
- Itemized prices and a total.
- What is not included.
- The date the quote expires.
- Payment terms and any deposit.
- How to accept: a signature, a reply or a purchase order.
Quote or estimate?
Use a quote when you can define the work and are happy to commit to the price. Use an estimate when the scope is uncertain and costs depend on what you find. A common approach is to estimate first and quote once the scope is clear.
Example wording
Painting the bathroom, walls and ceiling, two coats, materials included: $520. Valid until November 30, 2026. A $130 deposit confirms the booking.
After acceptance
Keep the accepted quote with your records, and invoice against it. If the final invoice differs, explain why. This tool provides general information and is not legal advice.
Frequently asked questions
What is the difference between a quote and an estimate?
A quote is a fixed price you commit to for a defined scope. An estimate is your best guess of the cost and can change. If you are not ready to commit to a price, use the estimate generator instead.
How long should a quote be valid for?
Commonly 14 to 30 days, depending on how quickly your costs change. Set the Valid until date so the client knows when the price expires and you are not stuck with an out-of-date offer.
Is a quote legally binding?
Often a quote that the client accepts can form an agreement at that price, but the rules differ by country and by industry. State clearly what is included, the validity date and your terms. This is general information, not legal advice.
What should a price quote include?
Your details, the client’s details, a quote number, the date, an itemized list of work or products with quantities and rates, any tax or shipping, the total, the valid-until date and the terms for accepting and paying.
Can I turn a quote into an invoice?
Yes. When the client accepts, open the invoice generator and enter the same items; your business details and logo are already saved there. Mention the quote number in the invoice notes or PO field so both documents are linked.
Should I ask for a deposit in my quote?
It is common for larger or custom jobs. Put the amount or percentage and the due date in Terms and acceptance, for example “50% deposit due on acceptance, balance on completion.”
Should a quote show prices with or without tax?
Be clear which one it is. For business clients, many sellers show prices excluding tax with a separate tax line. For consumers, prices including tax are common. Use + Tax and the “Prices include tax” option to match.
How do I get the client to accept the quote?
The default terms ask them to reply in writing or sign and return a copy. Print or save the PDF, send it, and keep the signed or emailed acceptance with your records.
Is this a quote generator for price quotes or inspirational quotes?
It is for business price quotes (also called quotations): a document that sets out what you will charge, for what, and for how long the price is valid. It does not generate inspirational or motivational quotes.
Can customers accept the quote online?
Not inside Invoicz, because there are no accounts or online signing. Send the PDF by email and ask your client to reply in writing, or print it so they can sign and return a copy. Keep the reply with your records.
Is the quote generator really free, with no watermark?
Yes. Create and download as many quotes as you like, with no sign-up and no watermark.
Can I add my logo to the quote?
Yes. Upload a PNG, JPG or WebP logo in the Add logo box and it will appear on the preview, the PDF and the printed copy.
What is the difference between a quote and a quotation?
They mean the same thing. “Quote” is the everyday word in the US and “quotation” is more common in the UK, India and much of the world. Both are an offer to supply goods or services at a stated price.
