What a purchase order does

A purchase order is the buyer’s formal commitment. It gives the supplier something to act on and gives your finance team a reference to check the invoice against later.

Where it sits in the process

  1. Request or quote from the supplier.
  2. Purchase order from the buyer.
  3. Order confirmation.
  4. Delivery with a packing slip.
  5. Invoice quoting the PO number.
  6. Payment.

Three-way matching

Many companies pay only when the purchase order, the goods received and the invoice agree. Quantity or price differences hold the invoice until someone resolves them.

Tips

  • State delivery date and address clearly.
  • Include payment terms and shipping responsibility.
  • Use one PO per order and keep numbers unique.
  • Issue an amended PO if the order changes.

Frequently asked questions

What is a purchase order and why use one?

A purchase order (PO) is a document a buyer sends to a supplier to authorize a purchase. It records what is being bought, at what price and on what terms, which avoids disputes and gives both sides a reference number.

What is the difference between a purchase order and an invoice?

The buyer issues the purchase order before the purchase to request goods or services. The supplier issues the invoice afterwards to request payment. Many companies match the PO, the delivery record and the invoice before paying.

What should a purchase order include?

The PO number, date, buyer and vendor details, a ship-to address, itemized goods with quantities and unit prices, delivery date, shipping method, taxes, total, payment terms and the name of the person who authorized it.

How do I number purchase orders?

Use a unique, sequential number such as PO-0001 or PO-2026-001. The supplier will quote it on the invoice, so it should never repeat.

Is a purchase order legally binding?

Once the supplier accepts it, a PO usually forms part of a contract between you, subject to your terms and local law. Include your terms and conditions. This is general information, not legal advice.

Who sends the purchase order?

The buyer creates it and sends it to the vendor, usually by email as a PDF. Download the file from this page and attach it.

Can I add tax and shipping to a purchase order?

Yes. Use + Tax for the tax line and + Shipping for freight. There is also a field for the shipping method and for the person who authorized the order.

Can I use the same details for my other documents?

Your business details and logo are saved once in your browser and reused on every document type, so you do not have to type them again.

How do I generate a PO number?

Use a simple sequence that never repeats, such as PO-0001 or PO-2026-001. Invoicz suggests the next number when you choose New document, so you do not reuse one.

How can I create a purchase order for free?

Open the generator, add your business and the vendor, set the PO number, order date and delivery date, list the items with quantities and unit prices, add tax or shipping if needed and download the PDF. There is nothing to sign up for.

Is this purchase order generator secure for business data?

Everything is built in your browser and is not uploaded to a server. The form is not saved between visits. Downloaded documents are listed on the History page on your own device only, and you can delete them there.

How is this different from a purchase order template in Excel?

Totals, discount, tax and shipping are calculated for you in a fixed order, the numbering suggests the next number, and you get a finished PDF rather than a spreadsheet you have to maintain.

Can I use this for international purchases?

Yes. Choose from 37 currencies, add the ship-to address and your shipping method, and set the interface to 16 languages. Check import duties, taxes and customs requirements separately.
