Frequently asked questions

What is a work order?

A work order is a document that describes a job to be done: who it is for, where, when, who will do it, and what the work includes. It is used by maintenance teams, contractors and service businesses.

What is the difference between a work order and an invoice?

A work order authorizes and describes the work before or while it happens. An invoice asks for payment afterwards. The work order can be the basis for the invoice, with the same lines.

What is the difference between a work order and a purchase order?

A purchase order is an order to buy goods or services from a supplier. A work order instructs a person or crew to carry out a specific task, often internally or for a customer.

What should a work order include?

A work order number, the date issued and scheduled, customer and job-site details, who it is assigned to, the priority, a description of the scope of work, labor and materials with costs, and authorization.

Who uses work orders?

HVAC technicians, plumbers, electricians, property managers, facilities teams, cleaners, repair shops and many other service businesses use them to keep jobs organized.

Can I set priority and assign a technician?

Yes. Use Priority (Low, Normal, High or Urgent) and Assigned to. Both appear on the printed document.

Can I add prices, labor and taxes?

Yes. List labor and materials as items with quantity and rate, and use + Tax if it applies. If you only need a job description without prices, leave the rates empty.

Can the customer sign the work order?

Print it or save the PDF and have them sign it on paper or with a PDF signing app. Use the Authorization box to state what the signature confirms. There is no built-in e-signature.

How do I generate a work order?

Add your business and the customer, enter the work order number, the issue and scheduled dates and the job site, assign it to someone, describe the scope, list labor and materials if you want costs, and download the PDF.

Is there a free work order app?

You do not need to install an app. Invoicz runs in a phone or computer browser and creates the work order as a PDF you can send or print.

Is this work order software?

No. It creates the work order document. It does not schedule technicians, track status or manage a job pipeline; for that you need field-service software.

What is the difference between a work order, a job order and a service order?

The names are used interchangeably in many businesses. All describe an instruction to carry out specific work, with details of the customer, the site, the scope and the schedule.
