Example consulting invoice lines
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Strategy workshop (day rate) | 1 day | $1,500.00 | $1,500.00 |
| Analysis and written report | 12 hrs | $150.00 | $1,800.00 |
| Follow-up call and notes | 1.5 hrs | $150.00 | $225.00 |
| Total due | $3,525.00 |
Add the engagement reference or purchase order number at the top so the client's accounts team can match the invoice to the budget.
Pricing and payment terms for consulting work
Consultants commonly invoice monthly in arrears for time worked, or in advance for a retainer. State which on the proposal and on each invoice.
Larger clients often have fixed payment cycles, so Net 30 or longer is usual. Shorter terms are easier to agree with smaller businesses.
Tips for consulting invoices
- Describe the outcome as well as the activity, such as "Pricing analysis and recommendations".
- Send expense receipts with the invoice, or keep them ready.
- Record the scope in writing so the invoice never exceeds what was approved.
- For retainers, say what the monthly fee includes and what happens to unused hours.
Common mistakes on consulting invoices
- Describing the work as "consulting" with no detail.
- Exceeding the approved budget without a written change.
- Leaving out the engagement or PO reference.
- Invoicing late at the end of the project instead of monthly.
Wording you can reuse
- "Engagement: Pricing review, PO 88412. Period: 1 to 30 November 2026."
- "Retainer for November 2026: up to 10 hours of advisory support."
- "Expenses billed at cost, receipts attached."

Frequently asked questions
What should a consulting invoice include?
The client and engagement, the period, day or hourly rates with quantities, deliverables, expenses, the total, payment terms and a reference or PO number.
Should a consultant invoice by the hour or by the day?
Either is fine. Use the unit in your proposal. Day rates are easier to read; hourly rates suit open-ended or short tasks.
How do I invoice a retainer?
Send the same amount on the same date each period, with a description of what it covers. Many consultants invoice retainers in advance.
How do I bill expenses as a consultant?
List each expense as its own line at cost, with a brief description and receipts available. Agree in advance whether any markup applies.
What payment terms should a consultant use?
Net 14 or Net 30 are common. Large organizations may require longer terms, so make sure the invoice reaches the right person with the right reference.
