What a contractor invoice should include

  • Your name or business name and contact details.
  • The client's name and the project or purchase order reference.
  • An invoice number, issue date and due date.
  • The work done, with hours and rate or a fixed fee for each deliverable.
  • Reimbursable expenses as separate lines, with receipts available.
  • Payment instructions and any tax or registration number the client needs.

Example contractor invoice lines

Project management6 hrs$75.00$450.00
Stock photo licence (reimbursable, receipt attached)1$64.00$64.00
Total due$3,514.00

For US contractors, the invoice is separate from tax forms: your client may ask for a Form W-9 and may later file a Form 1099-NEC about you. The guide on 1099 invoices explains how they fit together.

Pricing and payment terms for contractor work

Contractors usually set terms in the agreement. Net 14 or Net 30 are common, and a deposit is sensible for new clients or larger projects.

If you work for larger companies, quote their purchase order number at the top of the invoice; many accounts teams cannot pay without it.

Tips for contractor invoices

  • Describe each deliverable specifically, with dates, so the invoice is easy to approve.
  • Keep a copy of every invoice and the payment record for your own tax return.
  • Do not put your Social Security number or full tax ID on an invoice unless the client requires it; give it on the appropriate form instead.
  • Set aside money for tax as you are paid, because nobody withholds it for you.

Common mistakes on contractor invoices

  • Calling the work "services" without saying what was done.
  • Forgetting the client's purchase order number.
  • Mixing expenses into hourly time instead of listing them separately.
  • Not keeping a numbered copy for tax records.

Wording you can reuse

  • "Invoice for phase 2 deliverables as per agreement dated 1 October 2026."
  • "Payment due within 30 days of invoice date. Bank details below."
  • "Expenses are billed at cost; receipts available on request."

Frequently asked questions

What should an independent contractor invoice include?

Your details, the client, an invoice number and dates, a description of the work with hours and rate or a fixed fee, expenses as separate lines, the total, and payment instructions.

Do I need a W-9 as well as an invoice?

If you work for a US client, they may ask for a Form W-9 so they can report what they pay you. It is a separate form from the invoice and is given directly to the client.

Should I include my tax ID on a contractor invoice?

Only if the client requires it. Many contractors give their tax ID on a W-9 instead and keep invoices free of sensitive numbers.

How do I invoice for expenses?

Add each as its own line at cost, with a short description, and keep the receipts. Agree in advance whether expenses are marked up.

Is a contractor invoice the same as a freelance invoice?

In practice yes. Both are invoices from a self-employed person to a client. The wording varies by country and industry.
