What is a tax invoice?

A tax invoice is an invoice for a taxable sale that shows the tax charged. A registered buyer usually needs it to claim back the tax they paid, which is why tax authorities say what it must contain. The name changes by country: a tax invoice in Australia, a VAT invoice in the United Kingdom, and an invoice showing GST or HST in Canada. In the United States, sales tax is normally shown on an ordinary invoice or receipt.

Other countries use similar documents under similar names. The pattern is always the same: your details, the customer, a description, the amounts, the tax and the total.

What a tax invoice must show

Each tax authority sets its own list, so check the rules where you sell. These are the main items from official guidance in the three countries we cover in our guides.

United Kingdom: VAT invoice

  • A sequential number that uniquely identifies the invoice.
  • The time of supply (tax point) and, if different, the date of issue.
  • Your name, address and VAT registration number.
  • The customer's name and address.
  • A description sufficient to identify the goods or services.
  • For each item, the quantity, the VAT rate and the amount excluding VAT.
  • The total excluding VAT and the total VAT chargeable in sterling.
  • The rate of any cash discount offered.

A simplified invoice is allowed for supplies of £250 or less including VAT, and a VAT invoice normally has to be issued within 30 days of the supply.

Australia: tax invoice

A tax invoice is not required for a sale of $82.50 or less including GST, and one must be issued within 28 days if the buyer asks for it.

Canada: GST/HST invoice

Many businesses simply put the full set on every invoice, which is always safe.

On the real invoice, add your VAT number, the customer's name and address, the invoice number and the date of supply. The amounts above are an illustration, not advice about which rate applies to you.

How to set up this template as a tax invoice

  1. Change the document title to "Tax Invoice" or "VAT Invoice". Australia asks for the words "tax invoice" to be stated prominently.
  2. Put your tax registration number in the Tax ID field: your VAT number, ABN or GST/HST number.
  3. Click + Tax, choose the label (VAT, GST, HST or Sales tax) and enter the rate.
  4. If your prices already include tax, switch on Prices include tax, so the tax is taken out of the total instead of added on top.
  5. Choose the currency. A UK VAT invoice must show the VAT total in sterling.
  6. If the date of supply differs from the invoice date, write it in the notes or in the item description.
  7. Check the totals, then download the PDF.

Tax invoice or ordinary invoice?

If you are not registered for VAT, GST or sales tax, you do not charge it and should not show a tax number, so an ordinary invoice is correct. Once you are registered, include the tax invoice details on every taxable sale. If you are unsure whether you must register, the thresholds are explained in our guides to UK VAT, Canadian and Australian GST, and sales tax.

What this template does not do

  • It applies one tax rate to an invoice. If you need several rates on one invoice, such as standard and reduced rate VAT, make separate invoices or check the totals by hand.
  • It does not check tax numbers or work out which rate applies to what you sell.
  • It makes a PDF, not the structured electronic invoice formats that some countries require for business customers, and not an editable Word or Excel file.
  • It is general information, not tax advice. Ask an accountant or your tax authority if you are unsure.

Common mistakes on tax invoices

  • Leaving out your registration number, which can stop your customer reclaiming the tax.
  • Showing a total with no separate tax amount or rate.
  • Mixing tax-inclusive and tax-exclusive prices on one invoice.
  • Issuing the invoice late, after the time limit in your country.
  • Charging tax when you are not registered.
  • Rounding each line differently, so the total no longer adds up.

Frequently asked questions

What is a tax invoice?

A tax invoice is an invoice for a taxable sale that shows the tax charged and the seller's tax registration number. A registered buyer usually uses it to claim back the tax they paid. The exact name and contents depend on the country.

Is a tax invoice different from a normal invoice?

A tax invoice is a normal invoice with the extra details a tax authority requires, such as your registration number and the tax amount. If you are not registered for the tax, an ordinary invoice is correct.

What must a tax invoice include?

In general: the word invoice or tax invoice, a unique number, the date, your name, address and tax number, the customer, a description of what was sold, the amounts, the tax charged and the total. Each country adds its own details, so check the rules where you sell.

Can I use this as a VAT invoice or a GST invoice?

Yes. Set the tax label to VAT, GST or HST, enter your rate and your registration number in the Tax ID field, and rename the document. Check the details your tax authority requires before you send it.

Can I show more than one tax rate?

No. The template applies one tax rate to the invoice. If you sell items at different rates, make separate invoices or check the totals by hand.

Can I download the tax invoice template as Word or Excel?

No. Invoicz creates PDF invoices only. A PDF cannot be changed by accident and looks the same on every device.

Do I need a tax invoice if I am not registered for tax?

No. If you are not registered, you do not charge the tax and should not show a registration number. Use an ordinary invoice.

Is my tax invoice uploaded anywhere?

No. The invoice is built in your browser and never uploaded. The form starts blank every time you open or reload the page, so download your PDF before you leave.
