Tips for cash receipts
- Keep a copy, or take a photo, of every receipt you give.
- Number receipts in sequence with no gaps.
- Record the balance when it is a part payment.
- Count the cash in front of the payer and say the amount aloud.
- Bank larger sums promptly and keep the deposit slip with the receipt.
Issue a receipt only for money you have actually received. A cash receipt is a genuine business record, not a formality.
Common mistakes on cash receipts
- Writing the amount only in figures, which is easy to change.
- Leaving the purpose blank.
- Not keeping a copy.
- Issuing a receipt before counting the cash.
Wording you can reuse
- "Received in cash from Sam Carter the sum of $250.00 in part payment of invoice 0042."
- "Paid in full: $0.00 remaining."
- "Cash received and counted in the presence of the payer."
Frequently asked questions
What should a cash receipt include?
A number, the date, who paid and who received, the amount in figures and words, what it was for, the payment method and any balance.
Do I have to give a receipt for cash?
It is good practice, and in some places required. A receipt protects both sides because cash leaves no other record.
Can I write a cash receipt by hand?
Yes, if it has the required details. Use a numbered book with duplicates, write clearly and sign it.
What is the difference between a cash receipt and a sales receipt?
A cash receipt confirms a cash payment received. A sales receipt confirms a sale and may be paid by any method.
How long should I keep cash receipts?
Keep them with your other business records for the period your tax authority requires, commonly several years.
