What a construction invoice should include
- The job name and site address, and the client or main contractor.
- A description of the work completed in this billing period.
- Labor (hours and rate) and materials as separate lines.
- Approved change orders listed with their reference.
- Deposit or earlier progress payments deducted, and any retention held back.
- Your licence number where the local rules require it, plus the payment due date.
Example construction invoice lines
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Demolition and site preparation | 1 | $1,200.00 | $1,200.00 |
| Framing labor | 24 hrs | $55.00 | $1,320.00 |
| Lumber and fasteners (materials at cost) | 1 | $2,150.00 | $2,150.00 |
| Drywall installation | 18 hrs | $50.00 | $900.00 |
| Total due | $5,570.00 |
On a larger job, add a line for the deposit already paid and the balance now due, so the client can follow the whole contract value from invoice to invoice.
Pricing and payment terms for construction work
Most building work is invoiced in stages rather than all at the end: a deposit before starting, progress invoices as work is completed and a final invoice on completion. The guide on deposit and progress invoices shows how to word each one and how to show the balance.
Terms vary by contract. Net 14 or Net 30 is common for commercial work, and domestic work often asks for payment on completion of each stage. State the due date as a real date on every invoice.
Tips for construction invoices
- Quote the original estimate or contract number so the invoice ties to what was agreed.
- List change orders separately and keep the client's written approval on file.
- Keep receipts for materials; they support what you charge and what you deduct.
- Where a retention applies, show it as a deduction and note when it is due for release.
Common mistakes on construction invoices
- Billing the full contract value without showing what was already paid.
- Burying change orders inside labor or materials.
- Leaving out the site address or job reference, so accounts cannot match it.
- Sending the invoice weeks after the work, which delays payment.
Wording you can reuse
- "Stage 2 of 4: framing and roof structure completed 12 November 2026."
- "Change order CO-02, approved by the client on 3 November: additional bathroom vent."
- "Retention of 5 percent is held until completion and released after the defects period."

Frequently asked questions
What should a construction invoice include?
The job and site, a description of the work done, labor and materials as separate lines, approved change orders, earlier payments, the amount due and the due date. Add your licence number if local rules require it.
How do I invoice for progress on a construction job?
Invoice the value of the work completed to date, subtract what has already been paid and any retention, and show the balance due. Refer to the contract or quote number on each invoice.
Should labor and materials be on separate lines?
Yes. Separate lines are clearer for the client and often needed for tax, because materials and labor can be treated differently.
How do I show a change order on an invoice?
Add it as its own line with the change order reference and description, at the approved price, so the client sees it was agreed.
Can I charge a deposit on a construction job?
Yes, it is common, and the rules on how much can differ by place. Put the amount and the refund terms in the contract, then invoice it before work starts.
