What a photography invoice should include

  • The client, the event or project and the shoot date.
  • Shoot time or a package name and what it covers.
  • Editing: number of images delivered and any retouching.
  • Usage licence: what the client may do with the images and for how long.
  • Travel and other expenses as separate lines.
  • The deposit already paid and the balance due.

Example photography invoice lines

DescriptionQtyRateAmount
Half-day commercial shoot4 hrs$600.00$600.00
Image editing and delivery30 images$8.00$240.00
Commercial usage licence, 12 months1$300.00$300.00
Travel, 45 miles45 miles$0.70$31.50

The deposit line shows the client that the balance is the remaining amount, not a new charge.

Pricing and payment terms for photography work

Photographers commonly take a booking deposit of 25 to 50 percent to hold the date, with the balance due before delivery or within 7 to 14 days. State both on the quote and the invoice.

Licensing can be priced separately from the shoot. Spelling out the permitted use on the invoice avoids arguments about what the client may do with the images.

Tips for photography invoices

  • Put the licence terms or a reference to them on the invoice.
  • Say when the final images will be delivered, and what happens if the date moves.
  • Keep the booking deposit as its own invoice so it is clearly part of the contract.
  • Use the quote and the invoice to say how many rounds of editing are included.

Common mistakes on photography invoices

  • Not stating what the client may do with the images.
  • Forgetting to list the deposit already paid.
  • Unclear delivery dates for the final images.
  • Not saying how many editing rounds are included.

Wording you can reuse

  • "Licence: web and print marketing use for 12 months; no resale or transfer."
  • "Final edited images delivered by link within 10 working days of the shoot."
  • "Booking deposit is non-refundable and is credited against this invoice."

Frequently asked questions

What should a photography invoice include?

The client and project, the shoot date, time or package, editing and number of images, the usage licence, expenses, any deposit paid and the balance due with a due date.

How do I show a deposit on a photography invoice?

List the full price, then a line for the deposit already paid with its invoice number, and show the balance due. That way the client sees the whole picture.

Should the licence be on the invoice?

Yes. Say what the client may do with the images and for how long, or refer to the licence in your contract.

Do I charge for editing separately?

You can. Many photographers include basic editing in the price and charge extra for retouching or additional images. Make it clear in the quote.

When should a photographer send the invoice?

Send the deposit invoice at booking and the final invoice when the images are ready or just before delivery, depending on your terms.
