Rent receipt, rent invoice and rental agreement

A rent invoice asks for payment that is due. A rent receipt confirms it was paid. The lease or rental agreement sets the amount and dates. Keeping all three together makes disputes easy to settle.

When to give a rent receipt

  • Always for cash payments, because there is no bank record.
  • On request for any payment, because tenants may need proof for their own records.
  • For part payments, showing what remains owing.

In some places the law requires a landlord to give a receipt for cash rent. Check the rules where the property is. Never issue a receipt for money you have not received.

Common mistakes on rent receipts

  • Not stating which period the payment covers.
  • Forgetting the balance when only part of the rent was paid.
  • Using the same receipt number twice.
  • Giving no receipt for cash.

Wording you can reuse

  • "Received $1,450.00 as rent for 1 to 30 November 2026. Balance: $0.00."
  • "Part payment of $700.00 received; $750.00 remains due by 15 November."
  • "Paid in cash on 1 November 2026. Received by: Maya Chen."

Frequently asked questions

What should a rent receipt include?

Landlord and tenant names, the property address, the date, the amount, the period covered, the payment method and a receipt number. Show any balance still owing.

Is a rent receipt required by law?

Some places require landlords to give receipts for cash rent or on request. Rules vary, so check local law. A receipt is good practice either way.

Can a tenant make their own rent receipt?

A receipt should be issued by the person who received the money. A tenant can ask for one, and for transfers can keep the bank record as well.

What is the difference between a rent invoice and a rent receipt?

An invoice requests rent that is due. A receipt confirms rent that was paid.

Is a handwritten rent receipt valid?

Yes, if it contains the required details and is genuine. A typed or PDF receipt is easier to store and search.
